How to Create a Pre-Order Job in Workflow

Creating a Pre-Order job in Workflow is a great way to let customers place orders before images or subject data are available—perfect for events like Picture Day!

Before You Begin

Make sure you have:

  • A price sheet ready

  • A shopping cart template

  • A custom form (required for pre-order jobs to collect key info like student names, grades, etc.)

Steps to Create a Pre-Order Job

  1. Go to Jobs and click the green + New button to create a new job.

  2. Fill out the Job Setup form:

    • Job Title: Use something clear and consistent, like

      2025 Spring ABC Elementary Pre-Order

    • Job Type: Choose the appropriate type (e.g., Underclass Spring, Event, Sports, etc.)

    • Subject Configuration: Leave this checked if you’ll be matching orders to specific students later.

    • Pre-Order: Check this box to enable pre-ordering. This allows customers to place an order without images or subject galleries being available.

    • Attach a Custom Form: Make sure to attach a custom form so you can collect key info from customers at checkout.

  3. Configure additional settings:

    • Green Screen: Only check this if you're uploading PNGs and using background options later.

    • Image Format: Leave as Large Format unless you want faster uploads with lower resolution.

    • Disable Face Detection: Optional — disables auto head-sizing but speeds up image upload.

  4. Assign your pricing and cart:

    • Select the Price Sheet for the job

    • Choose your Cart Settings template

  5. Click Create to finish.

    You’ll land on the Subjects tab, where you can later import subject data when available.

Helpful Tips

  • Once the job is created and orders start coming in, you can match orders to subjects once image galleries are uploaded.

  • You can turn Pre-Order on/off after creation.

  • Pre-order jobs don’t require subject images at first, but you’ll want to have them ready before delivering products.
