How to Create a Job Without Subjects in Workflow

Creating a job without subjects allows everyone to view all images in the gallery without needing unique online codes. This setup is ideal for group events like weddings, sports tournaments, dances, or large gatherings where individualized galleries aren’t needed.

Follow the steps below to create a no-subject job in Workflow.

Prerequisites

Before creating a job, make sure you have:

  • An active Price Sheet

  • An active Shopping Cart Template

Note: These must be created first before a job can be set up.

Step-by-Step Instructions

1. Start a New Job

  • Navigate to the Jobs section.

  • Click the green + New button to create a new job.

2. Enter Basic Job Details

  • Job Title: Enter a clear and recognizable title.

    Example: 2025 Spring Citywide Event

  • Job Type: Select the appropriate type from the drop-down list (Wedding, Portrait, Event, Sports, etc.).

3. Configure Job Settings

  • In the Configuration section:

    • Uncheck the "Subject" option.

      • By default, this box is checked.

      • Unchecking it means the gallery will not require individual online codes, and all customers can browse all available images.

    • Important: The "Subject" setting cannot be changed once the job is created.

  • (Optional) Set additional preferences:

    • Green Screen: Enable this only if you upload PNG images and offer background selections.

    • Image Format:

      • Large Format (default): Up to 6000px on the longest side (recommended for best quality).

      • Standard Format: Limits images to 3200px (faster uploads, lower quality).

    • Disable Face Detection: Optional to speed up uploads if automatic head-sizing is not needed.

4. Assign Price Sheet and Cart Settings

  • Price Sheet: Select from your active price sheets.

  • Cart Settings: Choose the appropriate shopping cart template.

5. Create the Job

  • Click Create to save your new job.

  • You will be taken to the Subjects tab, even though this job won’t have individual subjects.

Setting Up Gallery Access

In a no-subject job, everyone uses one general password to access the gallery:

  • Go to General Settings > Password inside your new job.

  • Set a password and share it with customers to access the full gallery.

Additional Notes

  • No individual subject matching is needed.

  • Customers can view and order from the complete set of uploaded images.

  • This setup simplifies the ordering process for large events or open galleries.
