Creating Blank Subjects in Workflow

Sometimes on picture day or during an event, unexpected subjects show up who weren't pre-registered. To stay flexible, you can create blank subjects in your job ahead of time or as needed.

Blank subjects allow you to assign images quickly without needing all the subject details upfront—you can update the information later!

Here’s how to create blank subjects (and custom ones) in Workflow:

Creating a Custom Subject

If you need to add a single, specific subject manually:

  1. Open your job and go to the Subjects tab.

  2. Click + New Subject.

  3. Enter any custom subject information you have, such as:

    • Name

    • Grade

    • Teacher

    • Any other available fields

  4. Then click Add New Subject to create the record.

Note: If Manually Set Online Codes is enabled in Job Settings > General > Configuration, you must manually enter an Online Code for each subject. If it’s disabled, the system will automatically generate unique online codes after syncing.

Creating Multiple Blank Subjects

If you anticipate needing extra subjects:

  1. Go to the Subjects tab and click + New Subject.

  2. Toggle the Blanks option at the top of the form.

  3. Enter:

    • Number of blank subjects you want to create (e.g., 10, 20, 50).

    • Starting Number (this will temporarily name them "Blank 001," "Blank 002," etc.).

  4. Click Create (#) at the bottom.

Each blank subject acts as a placeholder you can assign images to. You can fill in real subject data later once you collect the necessary information.

Helpful Tips

  • Naming System:

    Starting numbers help you track placeholders quickly when assigning images on-the-fly.

  • Use Blanks for:

    • Walk-up subjects

    • Late registrations

    • Last-minute participants at events
